About Us

Healthcare software · Clinics, care centers & care providers

Your team treats and cares. Your own software runs the admin.

CPI Technologies in Frankfurt has been building software since 2017 for businesses that want to grow without growing their back office. For clinic groups, medical care centers, home-care providers, and health startups, that means patient portals, AI documentation, and automated workflows — GDPR-compliant, connected to the systems you already run, and live in about 90 days. Your team gets back to what you hired them for: taking care of patients.

Free and non-binding. Together we'll find out where your organization loses the most admin hours.

AS SEEN IN

Sound familiar?

Sound familiar from your clinic or care operation?

The medicine is digital — the admin isn't. While your team treats and cares, calls, documentation backlogs, and billing pile up. And good administrative staff have all but vanished from the job market.

The phone runs the front desk.

  • Appointment requests, prescription refills, referral questions: your front-desk staff are stuck on the line.
  • Patients wait at the counter while the phone keeps ringing.
  • Patients who can't get through call the next provider.
  • Your team starts every morning already behind.

Documentation eats the hours patients never get.

  • Care documentation, discharge letters, reports for payers and auditors — all of it after the actual shift.
  • Your clinical staff sit at the keyboard after hours instead of with patients.
  • Documentation load ranks among the top reasons good people quit.
  • And replacements are nearly impossible to find.

Every new location adds admin instead of margin.

  • Practice management here, staff scheduling there, billing in Excel — nothing is connected.
  • So someone re-types everything by hand, at every location.
  • With every location, the administrative overhead grows.
  • Your expansion hinges on admin roles you can't fill.

What we build

What we build for clinics, care centers, and care providers

Always software that measurably saves admin time or opens new revenue — tailored to how you operate, not to an industry template.

Appointment & patient portal

Patients book appointments online, fill out intake forms in advance, and upload documents — around the clock, no hold music. Your front desk spends less time on the phone, and your calendar fills up anyway.

AI documentation assistant

Dictation or bullet points become drafts of discharge letters, care reports, and progress notes. Your clinical staff review and approve instead of typing every sentence — the professional judgment always stays with a human.

Chat & phone assistants

Prescription refills, rescheduling, frequent questions: an AI assistant resolves routine requests instantly — evenings and weekends included — and hands over to your team the moment things turn medical.

Automated billing & follow-ups

Preparing billing, triggering follow-ups, pre-structuring reports for payers and auditors: the work that piles up after hours today starts running automatically — your team reviews and approves.

Interfaces instead of double entry

We connect practice management, staff scheduling, and accounting through interfaces instead of replacing the systems you already have. Data is entered once and stays current everywhere — no more paper chaos and Excel workarounds.

Digital products for health startups

From patient apps to care-delivery platforms: we take your digital health product from concept to market-ready — built GDPR-compliant and tested with real users before a cent goes into marketing.

Integrations

Your patient portal talks to the systems you already run

A portal that doesn't talk to your systems only creates new double data entry. That's why we build the layer on top of what you already have — data is entered once and stays current everywhere.

A few examples — we connect what your organization actually runs: through direct interfaces, in healthcare often via standards like HL7 and FHIR, plus an integration layer covering 1,500+ apps.

How it works

Software your team actually uses, in about 90 days

No agency black box, no never-ending IT project. Three steps, each with a clear deliverable — at a price fixed before we start.

Step 1 · Weeks 1–2

Prove it before you build it

  • In the free 30-minute Potential Analysis, we look at your operations: where do the most admin hours disappear — front desk, documentation, or billing?
  • We talk to the people who live with it daily: your medical assistants, nurses, and admin staff.
  • You then receive a written scope, a fixed price, and a launch date.
  • If the idea doesn't hold up, we'll tell you just as plainly.

Step 2 · Weeks 3–9

Weekly sprints to version one

  • AI-powered development puts a clickable prototype in your hands within days — no waiting months for a first version.
  • Every Friday, you review the latest build in your browser and decide what comes next: online booking first, then the documentation assistant.
  • Architecture, data model, and reviews are handled by a human with nearly ten years of experience — with patient data on the line, that's non-negotiable.

Step 3 · Weeks 10–13

Test in live operations, then roll out

  • Real users work with the software for four weeks: your front-desk team, your nurses, selected patients.
  • Their feedback goes in before the rollout hits all locations.
  • After launch, we stay on to run and grow the product — a full handover is possible at any time, and the code is 100% yours.

What you get out of it

What your organization gets out of it

Software that works for you — in daily operations, on the balance sheet, and in the race for staff and patients.

A team with room to breathe

When appointments book themselves online, routine questions get answered automatically, and documentation arrives pre-drafted, your staff win back hours every single day. That's the cheapest answer to the staffing shortage: not hiring more people — cutting the admin per person.

Patients who stay

Online booking around the clock, reminders on their phone, paperwork submitted in advance: patients feel the difference from the very first contact. A patient who can't get through today calls somewhere else tomorrow — with your own portal, that stops happening.

A structure built to scale

When scheduling, documentation, and billing run on one platform, you can open new locations without rebuilding the back office every time. And clean, digital operations feed straight into what your organization is worth — especially once succession or a sale is on the table.

The comparison

Why your own software — and not another off-the-shelf portal

Off-the-shelf booking SaaS is set up quickly, but it maps the vendor's standard — and your patient data lives on someone else's accounts. An in-house dev team is expensive and hard to find. Our approach: your own platform, built by people who have shipped software since 2017.

Frequently asked questions

What clinics and care providers want to know before they start

What happens with patient data — is this GDPR-compliant?

Yes. Hosting is in the EU, GDPR-compliant, on accounts owned by your organization. Patient data is encrypted in transit and at rest, access runs through a role-based permission model, and every access is traceable. We build AI features so that no patient data flows to third parties uncontrolled — and we disclose every service in use before the project starts. On request, we bring your data protection officer in from day one.

Will this work with our practice management or care software?

That's exactly what we check in the Potential Analysis — before you commit to anything. Many systems offer interfaces or export paths, in healthcare often via standards like HL7 and FHIR; where a clean integration is missing, there's usually a pragmatic workaround. Important: we don't replace your existing systems — we build the layer on top that ends double data entry and paper chaos. Whether and how that works with your setup, we'll tell you honestly in the first call.

Does the AI end up making medical decisions?

No. We build software for administration, communication, and documentation — not diagnostics. The AI prepares: it drafts the discharge letter, answers the appointment request, sorts the follow-up queue. Your clinical staff approve, and the moment a request turns medical, the system hands over to a human. Your team gains time without handing responsibility to a machine.

How can the price be fixed before you know our operations?

Because the scope comes first: in the free Potential Analysis, we look at how you operate, and you then receive a written quote with scope, fixed price, and launch date. Once you sign, that number doesn't move — no matter how many hours we put in. Anything you want later, say an additional module for your next location, gets its own quote.

Who owns the code, the data, and the accounts?

You do — your organization, at all times. Source code, documentation, and every hosting and service account run under your company's name; with patient data, that's not a courtesy, it's an obligation. We keep supporting the product long after launch, but a complete handover is possible at any time: if you never hire us again, you're not missing a thing.

You build with AI. Doesn't that make the code worse — with health data of all things?

No. For us, AI speeds up writing code — not making decisions. Architecture, data model, and every review are handled by a human who has been building software for nearly ten years, including platforms in regulated fintech with comparably strict requirements. Every line goes through the same tests and standards as hand-written code. That way of working is what makes the roughly 90 days possible in the first place — publicly documented in our book (vibecodingbuch.de).
